About the Role

The Assignments Coordinator reports directly to the Manager of Residence Services and is responsible for the overall management of the housing inventory, and room assignments and supporting the front desk as needed. Customer and client relations are paramount for departmental success and the Coordinator will meet/communicate with potential guests and conference organizers on a regular basis, developing and utilizing space usage strategies to maximize both occupancy rates and residence rental revenue. This position must work closely with the Residence Life Management Team to coordinate special interest assignments and will also provide support to the Residence Manager on an as needed basis.

Responsibilities

Admissions and Assignments

  • Oversee all residence applications, ensuring they are properly entered in StarRez, prepare, send, and track appropriate mailings to complete the process
  • Record and track payment of security deposit through daily reports from Banner
  • Support the coordination of move-in/move-out of students each year
  • Develop, coordinate, and oversee check-in/check-out procedures for casual accommodation
  • Assign residents to rooms based on housing strategy, unit preferences and roommate preferences
  • Coordinate all room change requests and process cancellations prior to move in, including managing security deposits, cancellation charges, and credits to student accounts
  • Administer charges to individual residents placed after the bulk upload of charges
  • Generate reports from StarRez as required
  • Liaise with the Manager, Residence Services and Finance Coordinator on specifically assigned projects for resident applications
  • Front Office Operations & Customer Service

  • Meet with students and parents in relation to assignments, as requested
  • Communicate with students on a timely basis regarding check-in/out procedures
  • Liaise with the Finance Coordinator (system administrator) for student account and software/systems needs
  • Support in the development of marketing materials as required including preparation of print materials and packages
  • Planning, Teamwork & Support

  • Work with the senior department team to find solutions to issues and develop business philosophies, strategies, policies and procedures that support the rest of the institution and academic plan
  • Attend regular meetings and work with various campus partners/committees on various projects and initiatives
  • Oversee design and implementation of housing assignment strategy
  • Provide back up to other positions such as deposit reconciliations for Finance Coordinator, and front desk services
  • Oversee office filing system, order and monitor use of supplies, equipment, printing services and arrange for the maintenance of office equipment as required
  • Assist the Manager, Housing Coordinator and Finance Coordinator with the management of department records, scheduling and preparing reports, and organizing all start up requirements for new Residence staff
  • Qualifications
  • Three or four year Bachelor degree or equivalent
  • 6 - 12 months of related experience including:
  • Public relations, customer service and office administration experience or training
  • Extensive customer interactions, negotiating and cash handling skills
  • Experience in a campus residential environment is an asset
  • Understanding of institutional summer/casual accommodation operations
  • Strong communication, interpersonal, organizational and research skills
  • Strong knowledge of StarRez, MS Office software and background in word processing, spreadsheet use, and basic computer skills
