About the Student Division

The focus of the Students division is to serve and support the academic and non-academic growth and development of students. About the Role

Reporting to the Coordinator, Transfer Credit and Articulation, the incumbent is responsible for the research and evaluation of international high school and post-secondary documents for domestic students, as well as the evaluation of documents to determine if the English Language Proficiency requirement has been met. The incumbent will receive, evaluate and interpret the data from international transcripts (electronic and paper) for the purpose of entry into Banner, as well as supporting the domestic transcript entry team as required. Although entering accurate data into Banner is the goal, a set of complex procedures must be followed requiring significant judgment, evaluation, decision-making, creating new codes, clarifying content with other institutions and finally ensuring overall data integrity. All units within the Students Division rely on the accuracy of post-secondary transcript data for all other processes such as – automated GPA calculations for admission, transfer articulation, prerequisite checking for course registration, representation of courses in the degree audit system, and evaluation for graduation. This role includes analyzing and interpreting the data, requiring an in-depth understanding of the impact of various policies and procedures and the implications for all other business areas, troubleshooting, problem- solving, and providing suggested solutions to new issues when they arise.

The Data Processing Administrator must pay close attention to detail to verify the authenticity of documents and maintain the integrity of the University. Also involved is remaining up to date on new developments regarding the evaluation of international documents within the post-secondary system (provincially, nationally, and internationally) and working with other institutions and organizations to ensure appropriate and current benchmarks are being used in the evaluation process.

Responsibilities
  • Ensure accurate and timely entry of academic documents including post- secondary transcripts
  • Enter receipt of post-secondary transcripts for all areas and all transfer equivalency data into Banner
  • Maintain (e-)filing system to ensure compliance with FOIP and easy access for staff
  • Ensure university data standards have been observed and data errors are corrected in a timely manner
  • Become familiar with out-of-province documents and international documents to determine equivalent courses from other provinces and countries
  • Maintain an in-depth understanding of Banner for the purpose of navigation, data entry and retrieval
  • Assist in resolving data issues for students, respond to common inquiries and respond individually to inquiries related to student accounts
  • Maintain an in-depth understanding of receipt and downloading of electronic transcripts received through ApplyAlberta
  • Qualifications
  • 2-year diploma from a University or equivalent
  • 18-24 months of related experience in an environment requiring a high level of attention to detail and superior organizational skills
  • Excellent keyboarding speed and accuracy
  • Strong computer analysis skills with a focus on learning new systems, troubleshooting and critical thinking
  • Ability to interpret complex data, work independently and use independent judgement
