Schedule Description

DUTIES

Provides a wide range of secretarial and receptionist services for designated departments.

MAJOR DUTIES & RESPONSIBILITIES

  • Performs secretarial duties which includes word-processing a variety of documents such as correspondence, contracts, evaluation summaries, exams, memos and minutes; receives and transfers telephone calls, taking messages as required.
  • Provides receptionist services by receiving visitors, scheduling appointments, providing information and directing to appropriate area.
  • Sets up and maintains filing systems, records and office supplies inventory; maintains, troubleshoots and reports malfunctioning office equipment.
  • Prepares and sends out relevant materials including manuals, learning guides and course outlines.
  • Collects, sorts, distributes and may open mail for designated department.
  • May arrange meetings, locate and assemble background information, books physical facilities and equipment for meetings and may assist in arranging events.
  • Sets up, maintains and updates relevant policy procedures manuals.

    QUALIFICATIONS

    EDUCATION

  • Grade 12 plus six months' post-secondary education or equivalent.
  • EXPERIENCE

  • Two years' related experience including one years' experience with electronic word processing and data entry.
  • SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Ability to perform electronic word processing at 60 wpm and data entry.
  • Ability to deal courteously and tactfully with staff, students and members of the general public.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to plan and organize work.
  • Ability to operate related equipment such as photocopiers and fax machines.
  • WORKING CONDITIONS

  • Sitting at desk and computer for period of time; general office conditions.
  • The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.

    Pay Band

    $27.07 - $30.08 ( CUPE Grade 05 (90% - 100%) )

    Salary rate

    This Position is not subject to a 90% start rate for new Employees.
