About the post:

This role will require the candidate to assist in the delivery of a wide range of academic support services to students and academic staff within the RCSI Professorial Unit based at Our Lady of Lourdes Hospital, Drogheda.

RCSI students rotate within the departments of Paediatrics, Obstetrics & Gynaecology, Medicine and Surgery throughout the academic year. Operational activities during the academic cycle include inducting students, organising, timetabling and booking teaching and clinical activities; facilities management and the administration of examinations.

The Unit administers the Our Lady of Lourdes Drogheda Intern programme which includes organising the induction and teaching programmes, the annual Intern prize night and their continuous assessments. The Unit also organises and manages various annual events.

We are looking for a highly motivated individual for the role of faculty coordinator in our Student, Academic and Regulatory Affairs team. The successful candidate will provide administrative support and manage queries for staff and students within the department. In order to provide effective and efficient services it is expected that the successful candidate be flexible in terms of onsite working and hours of work.

Job Responsibilities

  • Provide end to end administrative support within the department.
  • Provide end to end administrative support to ensure the core teaching programmes are successfully implemented.
  • Ensure student queries are handled accurately and in a timely manner, and that agreed service levels are achieved.
  • Provide administrative support to academic staff to enable high quality teaching and learning.
  • Provide administrative support that enables the successful delivery of all forms of examinations, courses, educational meetings and prize nights.
  • Assist in the set-up for tutorials and educational seminars within the building.
  • Assist in the updating and maintenance of department records.
  • Respond to queries and deal with these in a professional and courteous manner.
  • Develop strong working relationships with students and internal stakeholders.
  • Ensure accuracy and consistency of all administrative process.
  • Be flexible and responsive to the needs of staff and students.
  • Knowledge & Experience – (Essential):

  • Excellent communication skills (written and oral) and reporting capability.
  • Excellent IT Skills, including a high level of proficiency with the Microsoft Office Suite.
  • Ability to build and sustain internal and external networks and partnerships.
  • Good organisational skills and the ability to demonstrate initiative.
  • Professional integrity and competency in dealing with highly confidential and sensitive materials.
  • Customer focused, responding effectively to changing customer needs and circumstances.
  • High level of accuracy and attention to detail.
  • Ability to manage tasks and achieve project objectives within deadlines.
  • Problem-solving: solving every-day student and staff issues by quickly identifying possible corrective measures and recommending the best solution.
  • Strong interpersonal skills.
  • Effectively communicate own ideas and recommendations.
  • Ability to work collaboratively with others to maximise individual and team effectiveness in order to achieve required service levels.
  • Knowledge & Experience – (Desirable):

  • Previous experience working in a third level or educational setting.
  • Previous experience working with teaching tools (Moodle, Blackboard Collaborate).
