About the Library

Housed in the Riddell Library and Learning Centre, the University Library is an integral part of the MRU experience. The services, facilities, programming and expertise available in the Library support innovative teaching, learning, and scholarship across campus. The Library includes the Archives and Special Collections, and specialized and technology-enriched teaching and learning spaces, including information literacy classrooms, a Maker Studio, audio production rooms, and a range of visualization, simulation, and immersive spaces.

About the Role

Through our Outreach program, MRU Library organizes and provides space, programming, and events that facilitate community connection, knowledge and information sharing in virtual and physical library spaces, at the heart of our campus. Our engagement with MRU user communities (students, faculty, staff and external guests) situates the library in university-wide initiatives and programs, promotes awareness of library resources and services, and builds capacity for knowledge creation and community-building.

Reporting to and working closely with the Associate Dean, Public Services, the Outreach Lead leverages their understanding of the academic mission of MRU in order to fully support programming initiatives that align with the strategic vision of the Library and the institution.

This position will plan and may coordinate individual on-site or virtual gatherings and events such as workshops, dialogues and panels, meetings, and other on-site or virtual gatherings or initiatives of broader scope such as event series and / or exhibition series hosted by the Library. Outreach also includes support of the MRU community via collaboration with campus areas, faculties, departments and student clubs in offering co-hosted or area-led events and programming (student orientation days, program showcases, industry nights, hackathons, student celebrations, etc). This includes work related to event planning, and coordination as well as communication and logistical arrangements for events held in the MRU Library.

This position is full-time (35 hours /week) and requires some flexibility in hours of work and scheduling, in alignment with the planning of and support for events and programming. Some evening and weekend work is required, subject to programming needs.

Responsibilities
  • Works in collaboration with staff and faculty across the Library to plan, execute and evaluate Library events, programming, activities and initiatives;

  • Collaborates closely with campus areas such as University Advancement, Alumni, Donor Relations, as well as faculties, departments and groups to support institutional and community events and initiatives held within or supported by the Library;

  • Liaises with MRU partners and vendors including Security Services, Environmental Services, Facilities, food services, Shipping & Receiving and Parking, etc in support and management of exhibition, events and programming hosted in and by the Library;

  • Provides needs assessment, consultation and planning services for events and programming to MRU community or other partner / guest representatives;

  • Coordinates and provides event scheduling, calendaring, registration and space-booking support for Library-led and hosted events and programming;

  • Ensures procedures and communication related to request for events and space bookings are clear and efficient;

  • Collects, prepares and communicates detailed procedural requirements to and from event partners, hosts or guest representatives. This includes information related to contracts and payment, and other logistics as needed;

  • Coordinates and provides on-site service support for meeting and event set-up, tear-down, post-event debrief and review.

  • Qualifications

    Required

  • Bachelor's degree or equivalent complemented by experience in event planning / event logistics;

  • Strong communication, event planning, organizational and creative decision making skills;

  • The individual must possess the flexibility to work with many different internal and external groups. They must possess tact, diplomacy and communications needed to liaise with multiple publics, partners, clients and guests in the role of event planning and relationship stewardship support;

  • Knowledge of the post-secondary environment and with various user communities within that environment;

  • Knowledge of the academic goals of the University in order to fully support programming initiatives that align with the strategic vision of the Library and the institution.

  • Preferred

  • Experience in a library or educational environment, especially academic libraries.
