Administrative Support Assistant

Job Purpose

To provide a range of administrative and support in the delivery of both undergraduate programmes in the School of Biodiversity, One Health and Veterinary Medicine, Undergraduate School Office.

Main Duties and Responsibilities

1. To deliver administrative support within the Veterinary Undergraduate School Office to strengthen the student experience processes for undergraduate BVMS & BSc students.

2. To respond efficiently and effectively to enquiries regarding student support (by e-mail, telephone and in writing) to ensure the provision of accurate information is disseminated to the appropriate level.

3. To provide assistance to student experience & course administrators and academics in relation to all aspects of the student experience e.g. student registration, checking of information in MyCampus etc.

4. To be responsible for keeping relevant systems up-to-date and accurate – e.g. MyCampus, and other associated systems.

5. To provide administrative support to the EMS administrative assistant including data input, updating the SEL (student experience log) and processing of health and safety paperwork

6. To provide administrative support to the Summer Vacation Scholarships, student financial aid etc.

7. To provide general administrative support for events - e.g, EMS Career's Fair, Open days, graduation etc.

8. To coordinate Induction Week events by supporting the course administrators in preparing for these events.

9. To act as clerk on a rotational basis on various committees e.g. Widening Participation, travel fund committee etc and other committees as required.

10. To undertake other relevant duties as directed by the line manager or other team administrators.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1. Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. OR Scottish Credit and Qualification Framework level 5 or 6 National 5 or 6, Scottish Vocational Qualification level 2 or 3 or equivalent, and experience of personal development in a similar role.

A2. Working knowledge IT skills including Microsoft Word, Excel, TEAMs, Office 365 and Outlook.

Desirable:

B1. Knowledge of EMS

B2. Knowledge of Virtual Learning Environments (VLE) (e.g. Moodle)

Skills

Essential:

C1. Computer literate with demonstrable skill in the use of Word and Excel.

C2. Initiative and judgement to plan or schedule workdays and weeks ahead, and to respond to changing requirements and resolve problems independently.

C3. Ability to communicate clearly, clarifying requirements, responding to colleagues and customers.

C4. Excellent organisational and time management skills, with an ability to work under pressure and to tight deadlines when required.

C5. Excellent accuracy and attention to detail (e.g. accuracy and precision in data entry).

C6. Ability to work independently and as part of a team.

C7. A high degree of numeracy.

C8. Self-motivation.

Desirable:

D1. Able to use University central databases e.g. MyCampus, CMIS.

D2. Ability to operate software for compiling and manipulating databases and production of documentation in Word, Powerpoint and Excel.

Experience

Essential:

E1. Sufficient experience in an office environment plus the above qualifications OR evidence of progression and development gained through relevant work experience.

Desirable:

F1. Previous experience in an educational environment

F2. Experience of taking minutes for a work-related committee

F3. Experience of working with students

Terms and Conditions

Salary will be Grade 4, £23,581 - £26,038 per annum.

This post is full time and Open ended.
