Your role
CAD Data Officer is responsible for verifying, managing, and updating AutoCAD architectural drawings, ensuring adherence to CAD standards, and maintaining accurate records of layout changes. Key tasks include preparing CAD files for internal teams, collaborating with the Melbourne team to update SISFM, conducting regular site inspections to document furniture changes, and overseeing furniture labeling and asset tracking. This role serves as the primary contact for office relocations and supports the annual audit of the Central Asset Management System (CAMS) for non-maintainable assets, ensuring accurate documentation of space and asset data.

Key Accountabilities
AutoCAD
Review and update architectural drawings, ensuring compliance with Melbourne standards, with a focus on furniture layouts and area calculations.
Perform area calculations and assist in updating space reports.
Conduct monthly and regular site inspections (if required) to capture and update layout changes.
Organize and maintain the drawing management system.
Support AutoCAD tasks such as redrawing, file clean-up, and submission of handover documents.
Attend internal handovers to document changes, assess defects, and follow up on corrective actions.
Track projects and ensure the accuracy of as-built drawings.
Document and archive handover documents and as-built drawings after verification.
Organize monthly meeting and regularly coordinate with the Capital Works team to obtain the project master list for follow-up.
SISFM
Convert 2D AutoCAD drawings into PDFs for Sisfm updates and internal team use.
Coordinate with the Melbourne team to upload Vietnam layouts and data, support data updates, and regularly check the Sisfm system for accuracy.
Assist in maintaining up-to-date Sisfm data for space and other reports.
Address users' queries related to layouts and SISFM
Office Relocations
Assist in planning and coordinating office relocations.
Perform logistics tasks such as packing checks, material checks, label printing checks, etc…
Oversee the move and coordinate with relevant teams to ensure timely completion.
Assist in evaluating and organizing the reuse of furniture.
Develop Layouts
Central Asset Management System (CAMS) Audit
Assist in planning, communications, executing, and coordinating the annual asset life cycle audit.
Conduct physical audits to assess non-service assets and collaborate with the Facilities Management team, CAMS Asset Hub, and Melbourne team to update CAMS.
Prepare and input data into the CAMS system.
Assist in preparing the Asset Life Cycle Report (ALCR) and collaborate with the Facilities Management and Capital Work teams to ensure they are informed of the ALCR replacement plan for budget planning.
Follow up on furniture replacement projects after audits and budget finalization.
Others:
Coordinate with the Facilities Management team to track minor projects like repainting and small repairs.
Provide frequent updates on work progress to the line manager, as this involves extensive system work. Also assist with reports and other assigned administrative tasks
Key Selection Criteria
A Bachelor's degree in relevant field
AutoCAD proficient user
From 2-3 years of working experience
A proactive approach to planning, coordination, and delivery of work.
Demonstrated aptitude for continuous improvement and a commitment to professional development
Good communication skills, ability to keep accurate records, proficiency with various computer software including Excel, Power Point, and Word.

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 5.5 (or equivalent Linguaskill 150).
