About the Role

The Accommodated Exam Scheduler is accountable for accurately scheduling a high volume of accommodated exams and maintaining the integrity of exams while communicating effectively with the Exam Facilitator, students, faculty, and/or other Access and Inclusion Services staff. The Exam Scheduler must be well- versed in the diversity of exam accommodations for students experiencing disability-related barriers and how to adjust the current database to accommodate exam booking requests. As a first point of contact with students and faculty, the Accommodated Exam Scheduler requires high-level customer service and communication skills, to evaluate customer needs and facilitate accommodated exam writing while ensuring exam integrity. The incumbent will assist with the invigilation of midterm exams (including tests and quizzes) and assist with the invigilation of accommodated final exams. The incumbent is responsible for covering the Administrative Assistant's role as needed. The incumbent must maintain a welcoming, friendly attitude while using high-level thinking, problem-solving and independent decision-making skills to determine an individual's needs and deal competently and confidentially with diverse community members. This casual position requires availability in the morning between the hours of 8:00 AM – 11:00 AM during the Fall and Winter semesters.

Responsibilities

Responsibility 1 (70%): Accurate coordination, prioritization, and scheduling of accommodated exam requests using a client management system.

  • Receive a high volume of exam booking requests including in a short amount of time during each final exam period
  • Sort and prioritize exam booking requests to ensure timely processing of requests
  • Review exam booking request information and flag errors and/or conflicts
  • Communicate with faculty and students regarding exam booking requests errors, conflicts, and/or queries to facilitate the correction of errors and/or conflicts to ensure the integrity of the accommodated exam booking
  • Accurately assign appropriate accommodate exam stations based on information indicated in each exam booking request in the client management system
  • Make exam booking changes when necessary based on student and/or faculty updates in the client management system
  • Keep up-to-date documentation of all communication with relevant community members in the client management system
  • Responsibility 2 (10%): Timely communication with faculty, students, the Accommodated Exam Facilitator and other Access and Inclusion Services (AIS) staff regarding the scheduling of accommodated exams.

  • Communicate effectively the accommodated exam process with accuracy, care, and respect to all MRU community members
  • Communicate to students registered with AIS the exam booking request deadlines, release of the final exam schedule, booking request deadlines, and late booking request procedures
  • Communicate with other members of the Exam Centre team relevant information regarding the release of the final exam schedule and the booking of exams
  • Monitor and coordinate the processing of midterm and final exam requests with the Administrative Assistant to ensure timely processing of requests during peak times during the semester
  • Communicate scheduling delays to all relevant community members
  • Monitor the Exam Scheduler email for communication and updates about scheduling requests, errors, and/or conflicts
  • Responsibility 3 (10%): Ensure appropriate exam scheduling tools and the client management system are available, functioning, and up-to-date

  • Edit and accurately document information used to indicate daily exam bookings/schedule
  • Update exam scheduling documentation regularly with important dates, changes in dates, and office closures
  • Update the client management system with office closures
  • Ensure accurate communication is relayed through the client management system to community members
  • Ensure all exam locations and stations are represented in the exam schedule and relevant locations are communicated to the appropriate members of AIS staff
  • Keep up-to-date records of the exam schedule and available Assistive Technology Advisor (ATA) or MRU IT partner available
  • Collaborate with the ATAs to ensure an ATA is available for stations that require assistive technology or troubleshooting
  • Responsibility 4 (10%): Support front-facing and exam facilitation services in the Exam Centre

  • Maintain the reputation of Access and Inclusion Services as a friendly, helpful, and inclusive environment
  • Make informed decisions to provide efficient and timely service to community members
  • Clarify, support, problem solve any queries or concerns from community members and provide appropriate information to accurately direct them
  • Maintain up-to-date knowledge and understanding of processes and procedures of Access and Inclusion Services and Mount Royal services to accurately respond to a variety of questions posed by stakeholders
  • Provide timely, accurate, and respectful communication with community members
  • Communicate with the Accommodated Exam Centre team to adhere to the scheduling of the team
  • Cover basic administrative duties of the Administrative Assistant for scheduled breaks
  • Cross-train to learn the Exam Facilitator to be able to receive and process exams when needed or to provide additional support during peak exam periods
  • Other duties as assigned when necessary

  • Qualifications

    Education and Training:

  • A minimum of a two-year diploma from a University or equivalent
  • Experience working with adult learners is an asset
  • Strong interpersonal, communication, customer service, reading and writing skills
  • Experience using a client management system
  • Ability to effectively multitask, work under time pressures, and meet deadlines while maintaining confidentiality
  • Highly organized with an eye for accuracy and detail
  • Experience working on repetitive tasks for extended periods of time
  • Able to handle a high level of activity and disruptions while completing detail-oriented tasks
  • Advanced critical thinking, analyzing and problem solving as well as decision-making competencies
  • Experience working daily on a computer and using multiple platforms or software
  • Flexible and willing to work on an on-call basis
  • Knowledge, Skills and Abilities:

  • Knowledge of issues faced by students experiencing disability related barriers;
  • Knowledge of general office procedures
  • Knowledge of word processing, spreadsheets, databases
  • Knowledge of various assistive technologies, or willingness to learn
  • Listening skills - understand the concerns community members may have and develop positive relationships
  • Must be willing and able to communicate effectively within a team
