About RCSI Fellows and Members:

RCSI is the representative body for over 10,000 surgeons across 95 countries worldwide. The Fellows and Members function sits with the RCSI Department of Development, Alumni Relations, Fellows and Members and works closely with the RCSI Department of Surgical Affairs to provide professional support services to surgeons and surgical trainees (Fellows and Members) at every stage of their career. Fellows and Members contribute significantly to the governance, leadership and operational effectiveness of RCSI.

About the post:

The Data Support and Engagement Executive is an important role within the Department of Development, Alumni Relations, Fellows and Members and supports the success of the national and international engagement programmes for the 10,000+ members of the RCSI-affiliated surgical community.

The overall purpose of the role is to support the existing Data and Insights Executive to enhance contactability, improve data integrity and rates of verification and deepen the analysis of membership participation metrics including tracking of benefits and subscriptions. This will be achieved through a combination of data administration and analysis as well as specific engagement projects.

Job Responsibilities

Data Administration and Analysis In conjunction with the Data and Insights Executive, responsibilities will include:

§ Support the maintenance and improvement of overall quality, integrity and accuracy of Fellows and Members data on an on-going basis;

§ Deliver database processes specific to the admission, onboarding and conferral of new Fellows and Members to RCSI as well as the onboarding/off- boarding of Affiliate Members;

§ Maintain accurate and up-to-date constituent records in the CRM system e.g. contact details, communication preferences and consent records;

§ Enhance the scope of constituent records on the database with a priority focus on employment and relationship records;

§ Assist with data clean-up projects on an on-going basis, including regular data audits;

§ Provide support related to data requirements for events, communications, subscriptions, benefits, volunteering etc.

§ Utilise available tools (dashboard reporting tools, PowerBI etc.), internet resources, in-house data, and other resources to generate data reports/lists and to analyse and identify trends vis a vis engagement metrics (events, communications, volunteering), subscriptions, use of benefits etc.

Stakeholder Engagement

§ Work with the wider team to support engagement with external stakeholders, including, but not limited to RCSI Fellows, Members and Affiliate Members;

§ Identify and support/coordinate stakeholder data verification initiatives as stand-alone project(s) and/or incorporated into a wider project(s);

§ Determine trends vis a vis engagement metrics among RCSI Fellows, Members and Affiliate Members, provide recommendations and support the delivery of activities/initiatives to enhance engagement;

§ Support the growth of RCSI Fellows and Members subscriptions annually – collaborate to identify and deliver on specific projects that will enhance retention rates, promote the value of membership etc.;

§ Support the roll-out and use of the new customer-facing Portals, specifically by providing technical support to users and processing user requests;

§ Monitor and respond to data requests and queries arising from internal RCSI stakeholders, including but not limited to generating data lists, preparing reports etc.

General Duties

§ Provide excellent customer service to all stakeholders, internally and externally;

§ Ensure the efficient administration of the Department by contributing to the development and implementation of work systems, processes and policies;

§ Attend/support conferences and events, as required;

§ Carry out research and ad-hoc projects as directed;

§ Perform additional duties as expected in a dynamic team.

Knowledge & Experience – ( Essential):

§ Third level qualification; degree in areas such as Data Analytics, Business Management, Management Information Systems or similar;

§ Excellent IT skills, including using MS Office and other software packages;

§ Database and CRM experience: database and CRM experience and understanding (MS Dynamics and/or Power BI experience is highly advantageous);

§ High level of attention to detail and accuracy, including data entry, data analysis and ability to meet deadlines;

§ Clear, concise communication skills with ability to explain highly technical concepts and processes to team members and other internal stakeholders;

§ Ability to manage multiple database projects and related tasks simultaneously, working within a busy environment;

§ Have a pro-active approach to work, anticipating and resolving problems in advance; from anticipating and addressing issues to understanding requests and delivering quality work with minimal errors;

§ Excellent interpersonal skills, including friendly, positive and conscientious personality with experience of supporting internal stakeholders;

§ Display a ‘can-do' attitude, be committed to RCSI and our values, demonstrate enthusiasm and passion for the role;

§ Ability to work on own initiative as well as part of a team and manage high workflow.
