  • About This Opportunity

    We are seeking a passionate and enthusiastic Event Sales Coordinator to join the professional Customs House team. This role is responsible for securing, planning and co-ordinating events including conferences, seminars and weddings for corporate, University and private clients. To achieve growth and financial success of Customs House and to maintain the reputation of Customs House as one of Brisbane's premier function venues.

    We aim to exceed clients' expectations and ensure that every function is a success hence maintaining the reputation of Customs House as a premier function venue of the University of Queensland and contributing to the growth and success of the organisational unit.

    Duties and responsibilities include, but are not limited to:

  • Handling of event enquiries and sales leads.
  • Preparation of detailed proposals including quotes for theming, entertainment, audio visual and other technical requirements.
  • Organisation of events in conjunction with the client and the Customs House operational team.
  • Preparation and distribution of event manifests together with a detailed schedule of the event.
  • Attend regular event and operations meetings.
  • Utilising Microsoft Office, Visio and Ungerboeck event software.
  • Liaising with Chef, Banquet Operations, Accounts sections and external suppliers.
  • Assisting the accounts section with payments.
  • Preparing pro-forma invoices and checking supplier invoices.
  • Work flexible hours as required.

  • Qualifications and training equivalent to an undergraduate degree in event management; or an equivalent combination of relevant experience and/or education/training.
  • A minimum of 2 years in a similar position within the hospitality industry is essential.
  • Solid administrative experience with a high level of accuracy and productivity.
  • Superior interpersonal skills and highly developed organisational skills.
  • Demonstrated proficiency in written and oral communication in a clear and logical manner.
  • Demonstrated time management skills with the ability to prioritize different tasks.
  • Well developed negotiation skills to work with client requirements within the limitations of a heritage listed building.
  • Mediation skills to deal with difficult and challenging clients.
  • Well-developed computer skills with experience with Event Management Software.
  • An ability to work under pressure and meet daily deadlines, achieve objectives and be flexible.
  • Customer oriented focus and commitment to excellence and professionalism.
