Job Purpose

The University of Glasgow is dedicated to the welfare and success of its students and a positive welcome and transition to the University and student life is essential to achieving this.

To support this commitment, the University of Glasgow International Student Support Service is seeking to recruit a motivated customer focussed team of 10 UofG students to join the International Welcome Team.

The role of the Welcome Team is vital in ensuring new international students receive the appropriate welcome, information and support on arrival at the university. The team will use their experience and knowledge of being a student at Glasgow to provide reassurance, guidance and advice on life as a student at the university and in Scotland.

The team will work with the International Student Advisers in the delivery of a detailed and varied International Welcome & Orientation programme, including, staffing a dedicated Welcome Desk, leading campus tours and supporting networking and social events. The team will also work in pairs to give UofG students a friendly welcome at Glasgow International Airport as part of our Meet and Greet Service ensuring our students are directed to onward transportation. All team members will encourage international students to engage with activities, services, and opportunities provided by the University.

Main Duties and Responsibilities

1. Welcoming international students, queue handling when busy and representing the University of Glasgow

2. Answering a broad range of basic enquiries from international students including directions, accommodation information, registration queries, bank account questions, etc. and referring on to other services for more detailed information and advice or to International Student Support for urgent or complex queries.

3. Helping students find their way around campus and the city, providing directions and help using the UofG app and maps

4. Deliver informative guided walking tours of campus and the immediate West End area to new international students engaging with them to find out what they are interested in seeing and ensuring routes taken are appropriate and accessible

5. Leading or assisting social activities, events or tours, including welcome sessions and coffee drop- ins, welcoming students and answering questions about studying at Glasgow

6. Promoting and highlighting the benefits of Welcome and Orientation activities to international students to encourage sign up and attendance

7. Distributing materials such as welcome packs, leaflets and information sheets

8. Acting as a first point of contact and welcome for international students arriving at the airport and offering advice on how to access transport to their onward destination.

9. Assisting with any other appropriate activities as requested by the International Student Support team.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Registered or recently graduated student at the University of Glasgow.

A2 Excellent knowledge of the university campus, location of key student services and good understanding of university processes as experienced by new students.

Skills

Essential:

C1 Good interpersonal skills to communicate and relay information and guidance effectively.

C2 Able to show empathy and deal sensitively with international students using tact and diplomacy.

C3 A professional approach with an enthusiastic, approachable, patient and friendly personality.

C4 Ability to remain calm under pressure and offer reassurance where necessary and respond flexibly in busy or unexpected situations.

C5 Excellent communication and presentation skills with the ability to listen, understand and talk to a wide range of students and staff.

C6 Excellent time management skills with the ability to see tasks through to completion.

Experience

Essential:

E1 Experience of working as part of a team as well as independently.

E2 Experience of basic problem solving and answering queries.

E3 Experience of providing a high level of customer service, support, advice and guidance.

Desirable:

F1 Experience of working in a student facing role.

F2 Experience of giving guided tours.

F3 Experience of presenting to groups of students.

F4 Experience of crowd management.

Training takes place on Wednesday 11 September 09.30-4pm. Attending training is mandatory and in-person. Please do not apply if you cannot attend training.

Shifts may take place anytime from 12th September to mid October.

Terms and Conditions

Salary will be Grade 3, £21,900 - £22,681 per annum pro rata.

This post is offered on a fractional basis and is fixed term.
