Job Purpose
In this role, you will lead, manage and ensure the effective and efficient operation of the Learning and Teaching Postgraduate team for the School of Social and Political Sciences and deliver excellent service to our community.
The service is delivered in one of the largest Schools in the University, across our three academic Divisions, and a diverse range of programmes.
You will also be responsible for continuously improving service delivery, including developing consistent and standardised processes and practices to create a flexible and responsive workforce and service. You will contribute to School, College and University projects as appropriate and as directed by the Learning and Teaching Operations Manager.
As a key part of the School's professional services leadership team, you will be recognised as a subject matter expert for all postgraduate activities across the school. You will provide operational and policy-related advice/support to school directors and other key stakeholders as needed.
Main Duties and Responsibilities
1. Lead the Learning & Teaching administrative team to ensure the effective delivery of course/programme and PGR support services and efficiently manage and deploy staff resources.
2. Ensure that effective and efficient management arrangements are in place to achieve:
• delivery of high-quality student support • delivery of a high-performing, effective, flexible and responsive administrative support service
• Develop training and development activities that support high-quality service delivery and set P&DR objectives that will ensure excellent customer service and the development of our people
• Ensure effective provision and management of administration and information systems and arrangements, including:
• development and maintenance of appropriate information systems for all courses and programmes
• ensuring the accuracy and integrity of Student Records in accord with policies and procedures relating to GDPR
• provision of suitable support and examination arrangements for students with disabilities • overseeing submission of data to support University timetabling of all teaching programmes
• maintenance and revision of web pages/handbooks
• working in partnership with the Graduate School for all matters relating to the postgraduate research student lifecycle
3. Ensure that the Learning & Teaching team are trained, have the required knowledge and understanding, and have effective systems in place to provide up-to-date and accurate documentation, information, support, advice and guidance to students, including support for:
• Induction and enrolment/registration • Lecture and tutorial support
• Assessment and examination processes • Progression Maintenance of information and student systems provision
• Support for course development, amendment and changes
4. Work in partnership with academic and other Professional Services colleagues within the School and College to standardise, streamline and improve processes.
5. Where required, participate in the work of the School in a wide variety of activities and compliance/governance processes including:
• contributing to the planning processes for the administration of degree programmes • managing and providing guidance on the administrative processes for the development of new courses/programmes
• clerking relevant School committees, if required e.g. Learning & Teaching Committees • providing relevant statistical information
• liaising with College FOI/DPA contact to respond to requests for information and act as Complaints Officer for SPS postgraduate programmes
6. Work with the Learning and Teaching Operations Manager to maintain, monitor and continuously improve internal Quality Assurance & Evaluation (QA & E) and other relevant procedures for all programmes:
• develop and maintain continuous improvement to ensure the effective management of quality assurance process • ensure all QA & E documentation is up to date and in line with University directives and relevant external benchmarks/requirements
• providing specialist advice on all areas of the QA & E processes to academics • manage communications with External Examiners and practitioners
7. Provide information, support and professional advice to students on a range of issues across the student experience, referring to other internal and external services as required.
8. Working closely with the Learning and Teaching Operations Manager and other senior School colleagues, you will contribute to several ongoing School projects, including service improvements and rolling postgraduate portfolio review.

Essential :
A1 Degree, SCQF level 9 or equivalent, and/or equivalent experience in a management capacity A2 Significant knowledge of people/HR management policies and frameworks
A3 Significant knowledge of performance management practices and processes A4 Extensive knowledge of developing, implementing and improving service delivery
Desirable :
B1 Knowledge of university/HE structures and operating frameworks B2 Knowledge of QA practices and processes within university/HE environment
B3 Relevant qualification in process improvement and or change management methodologies

E3 Significant experience in managing and developing high-performing teams E4 Significant experience working in an administrative and process-driven environment
E5 Experience in delivering efficient and high-quality service to customers and colleagues
E6 Extensive experience of providing high-quality advice and guidance to others on governance, compliance and service delivery matters
Desirable :
F1 Experience of working in a higher education environment
Terms and Conditions
Salary will be Grade 7, £40,247 - £45,163 per annum.
This post is full time (35 hours per week) and open ended (permanent).
