WHAT IT TAKES
Provides a high level of administrative assistance to Continuing Education Programmer, Faculty of Commerce and Business Administration (CBA), in support of non-credit courses, programs and services. Provides exceptional client-centred service on a consistent basis to all stakeholder groups.
1. Provides administrative assistance to Continuing Education Programmer, Faculty of Commerce and Business Administration. a. contacts instructors for repeat courses regarding such issues as course and program implementation needs, course dates, policy and established financial items, referring financial and policy changes/concern to Community Programmers; b. ensures that the required on-site services in support of courses are provided, including room bookings, equipment, materials, and food services; c. schedules, prepares and sets up information sessions throughout the year: d. ensures that off-site facilities are contracted as required e. establishes and maintains routine course and program follow-up systems, including such items as evaluations forms, certificates and mailing lists; f. summarizes student evaluation forms for the Continuing Education Programmer, CBA; g. assists in preparing promotional material and packages, in editing content and style using InDesign; updates CE web site using applicable software; h. assigns course identification codes, sets up courses and new instructors in Banner; i. reviews, revises, updates, enters and produces such computer documents as course information sheets, student records, instructor records, class lists, waiting lists, mailing lists and course cancellation information; j. monitors class enrolment statistics and notifies the Continuing Education Programmer, CBA, of issues and trends; k. keyboards a variety of material, including creation of correspondence, course materials and manuals; l. establishes and maintains an effective filing system for the program area(s). m. orders supplies and resources; identifies requirements; n communicates with partner organizations regarding program dates and student enrolment. 2. Responds to student requests. a. provides information to potential students on application procedures, admission requirements, grading policies and financial aid; assists, counsels, and advises students regarding CE course selection; b. ensures that students meet all prerequisite requirements, where applicable. Assesses and processes students' applications according to established criteria; interviews, advises and maintains regular communication with applicants. 3. Provides support to CE instructors a. uses Bubble Grader to process exams and quizzes; processes student evaluations using bubble grader; b. prepares contracts for instructors; prepares and provides College orientation information for new instructors, liaises with Employee Relations and Payroll as required c. organizes regular instructors' meetings; may be required to take minutes at instructors' meetings
To Be Successful In This Role, You Will Need: 1. Completion of one year post secondary education together with at least two years experience in Continuing or Adult Education and an excellent working knowledge of English (written and verbal) with emphasis on spelling and grammar and experience in advertising and marketing, or equivalent combination of training, education and experience. 2. Demonstrated ability to keyboard 55 wpm accurately, together with demonstrated ability to perform computer applications including demonstrated proficiency with database management, word processing software (MS Word, windows and other specific software such as Excel), electronic mail and Internet applications. Ability to operate standard office equipment such as photocopiers, faxes and calculators is essential. Excellent working knowledge of routine office practices and procedures including standard business formats of letters. 3. Demonstrated ability to work independently with a minimum of supervision and an ability to accept a high level of responsibility. 4. Proven ability to deal in a highly effective manner with the general public, students, faculty, and staff. 5. Proven time management and general organizational skills. Knowledge of course budgeting systems in Continuing Education. 6. A sound working knowledge of College's operating procedures, with a demonstrated ability to perform related duties based on current division offerings. 7. Demonstrated ability to learn computer software programs quickly and effectively.
Additional Information
This temporary part-time (21 hours per week) position is available starting January 24, 2025 to June 24, 2025. Regular hours of work are Monday, Tuesday and Fridays, 8:00am – 4:00pm. Shift days and times may change depending on the Department's need. Occasional evening and/or weekend work may be required. The position is located at the New Westminster campus.
