POSITION DESCRIPTION
This position provides oversight of daily operations of the NUNM SIBO Center Laboratory by developing policies and procedures, overseeing documentation and record keeping, and monitoring provider credentialing and prescriptive authority. This position conducts chemical and physical laboratory tests of human specimens, analyzes test data, performs associated technical, clerical and quality assurance duties. This position supports the NUNM lab by focusing on clerical elements such as billing and shipping and continually providing quality customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Manage accurate billing for patients and providers:
- Complete billing in a timely manner including data entry, payment reconciliation, and mailing receipts. Assist billing department with payment disputes.
- Set up bulk ordering systems for provider offices as needed; manage billing and shipping of bulk orders.
- Manage monthly billing, patient tracking, and invoices for California Center For Functional Medicine.
- Maintain a clear understanding of the billing process within the Epic portal.
- Manage correspondence regarding patient accounts for billing and collection process.
- Track and contact insurance patients as necessary to help ensure completed tests are received in a timely manner for insurance billing.
Manage Month End financial reports:
- Run and save settled batch reports in Converge; compile financial data from out of pocket payments, returns, and insurance orders; track and include SIBO test on hand inventory.
Manage shipping/receiving of SIBO kits:
- Ensure orders are processed and shipped to patients/providers in a timely manner including data entry, stuffing kits with proper marketing material, and creating shipping/return labels.
- Ensure returning kits are received and processed in a timely manner including opening kits, entering in- process data into LogBook, and organizing kits to be processed.
- Process kit returns as needed, recording relevant info in Logbook and issuing refunds within a timely manner.
Manage electronic filing systems:
- Download and manage faxed and emailed requisitions from providers and patients.
- Create and manage new and existing folders and subfolders for current and previous years – for requisitions, Billing Statements, and ROI forms, including archiving expired documents.
- Create new Logbook databases yearly, edit existing databases as needed.
Complete essential clerical duties including:
- Filing orders and results in a timely manner.
- Answering phone inquiries from doctors, patients and potential patients; returning messages in a timely manner; and directing questions or complaints to appropriate contacts – i.e. clinic director, billing, etc.
- Ordering and stocking laboratory supplies.
- Perform minor website edits as needed including announcements, updating and/or removing information, adding links and sources when necessary.
- Maintaining the work area in a neat, safe and orderly manner.
- Establish policies to confirm active licensure and determine the prescribing authority for glucose, and legend drugs for all providers ordering lactulose SIBO breath tests, according to all state licensure board laws and rules and the scope of practice for licensed providers.
SIBO Test Kit Processing:
- Set up, calibrate and operate SIBO diagnostic equipment and instruments.
- Be capable of identifying problems that may adversely affect test performance or reporting of test results and either correct the problems or immediately notify the supervisor.
- Act as liaison to clinics using the SIBO Center and maintain current information regarding test kits, procedures, patient instructions, specimen requirements and price.
- Collect, process and test patient specimens in a safe and accurate manner according to accepted guidelines, including federal and state regulations, OSHA guidelines, laboratory policies and supervisor’s instructions.
- Obtain, process, and report results from patient samples according to in-house written procedures and State & OSHA requirements to ensure reliable, timely, and accurate testing.
Maintain strict patient confidentiality and comply with all HIPPA guidelines.
Adhere to established policies and procedures pertaining to safety and accident prevention; comply with all OSHA guidelines.
Uphold appropriate professional behavior at all times including reporting to work as scheduled and on time and following required dress code.
Work Saturdays and evenings as needed.
EDUCATION/EXPERIENCE
Associates degree and minimally 1 year of experience in the laboratory field recommended.
Word, Excel and, database skills required. Experienced with EMR and LIS strongly preferred.
