Position Summary Information
Job Description Summary The ECI Data & Systems Specialist provides detail-oriented data and operational support for Eastern Oregon University’s Early College Initiatives (ECI). This position plays an important role in supporting ECI operations, dual credit application and enrollment processes, and EOU’s enrollment goals through accurate data management, reporting, tracking, and program support.

Working collaboratively with ECI staff, the ECI Data & Systems Specialist maintains databases and tracking systems, reviews and processes student application and enrollment information, monitors key performance indicators, prepares reports and program documentation, and produces customized certificates. The position works with university systems including Banner, Slate, Google Workspace, Canva, and Canvas to ensure timely, accurate information and effective implementation of program objectives.

This is a fully remote position that offers the opportunity to independently manage assigned responsibilities while maintaining consistent communication with ECI staff and meeting established deadlines. The successful candidate will bring strong attention to detail, sound judgment, professionalism, and a commitment to protecting confidential student information.

This is a part-time, limited-duration position that is contingent upon continued grant funding.
Responsibilities
  • Maintain and update established databases and tracking systems, ensuring data accuracy, consistency, and integrity.
  • Review and process student application, enrollment, registration, communication, and related information within Slate, Banner, and other university systems.
  • Conduct quality assurance reviews of data, reports, records, and other materials to ensure accuracy and compliance with established university procedures.
  • Track and analyze established key performance indicators (KPIs), including dual credit participation, student engagement, and matriculation trends.
  • Prepare reports and data summaries that support ECI leadership in evaluating progress toward program and institutional goals.
  • Maintain reliable records and reporting related to student participation in ECI-supported campus experiences, Summer Institutes, academic exploration opportunities, and other activities connecting high school students with EOU programs and resources.
  • Provide timely behind-the-scenes support for dual credit application, roster, registration, and communication processes.
  • Create and distribute customized certificates using established templates and requirements in Canva.
  • Utilize Banner, Slate, Google Workspace, Canva, Canvas, and other university systems to support ECI operations, reporting, and data management.
  • Independently prioritize and manage assigned tasks based on established deadlines, data needs, and time-sensitive application and enrollment processes.
  • Review student, application, enrollment, and program data for completeness and accuracy and identify discrepancies, incomplete records, processing concerns, or potential errors.
  • Determine when data or processing issues can be corrected within established procedures and when concerns should be elevated to ECI staff.
  • Determine appropriate formatting, organization, and presentation of routine reports, data summaries, certificates, and tracking materials within established guidelines.
  • Exercise appropriate judgment when handling and protecting confidential or sensitive student information.
  • Recognize situations outside established procedures or the position’s authority and refer those matters to the appropriate ECI staff member for direction or resolution.
  • Maintain consistent communication with ECI staff while working independently in a remote environment.
  • Provide admissions support throughout the year.
Minimum Qualifications Education
  • Associate’s degree in Office Management, Business, or a related field or three (3) experience in office management.

One (1) year of experience in the following areas:
  • Performing detail-oriented administrative, data entry, records management, or similar support work.
  • Working with databases, spreadsheets, or electronic recordkeeping systems.
  • Reviewing information for accuracy and identifying discrepancies or incomplete records.
  • Demonstrated ability to independently organize work, prioritize assignments, and meet established deadlines.
  • Experience using common office productivity software, including Google Workspace or comparable applications.
  • Demonstrated ability to appropriately handle confidential or sensitive information.
  • Strong written communication skills and the ability to communicate effectively while working in a remote environment.

  • Must satisfactorily complete EOU criminal and credential background check. Having a criminal history is not an automatic bar to employment.

Preferred Qualifications Education
  • Bachelor’s degree in Business, Education, or a related field.

One (1) year of experience in the following areas:
  • Working in higher education, K–12 education, enrollment services, student services, or a related educational setting.
  • Using Banner and/or Slate or comparable student information, CRM, or enrollment management systems.
  • Working with student application, registration, enrollment, or academic records.
  • Collecting, tracking, or analyzing data and preparing reports related to key performance indicators (KPIs) or program outcomes.
  • Using Canva or similar design software to create certificates or other standardized materials.
  • Familiarity with dual credit, early college, or other programs serving high school students in a college or university environment.
