Job Summary The Facilities Management department oversees the planning, development, maintenance, and daily operations of university facilities. Reporting directly to the Manager of Human Resources within the Finance and Administrative Unit, the Human Resources Assistant supports key HR functions across the department. The role works onsite and maintains accountability to the Director of Finance and Administration. It provides coordination in recruitment, payroll, leave management, and talent initiatives.
Key Responsibilities
  • Supports leave management and payroll processes, including data entry, documentation tracking, and employee change processing through Banner reports.
  • Assists in the development of HR metrics and reporting tools, including dashboards, scorecards, and data visualizations.
  • Contributes to data systems improvement, including testing, maintenance, and platform integration for reporting processes.
  • Provides recruitment support, including preparing job postings, coordinating interviews, and conducting reference checks.
  • Maintains accurate recruitment documentation and supports the full hiring process from posting to selection.
  • Performs a range of confidential administrative duties, including preparing employment letters, taking meeting minutes, and supporting HR team operations.
Note Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Administrative Professional program, with a minimum of one year of HR experience (or an equivalent combination of education and experience).
  • Experience in recruitment, conducting research and strong accurate communication skills (written and oral).
  • Demonstrated respect for diversity and inclusion including cross cultural competence and/or experience working with employees representing diverse groups.
  • Strong computer skills- e.g. MS Excel, Word, Outlook, Access, PowerPoint etc.
  • Demonstrated experience working with confidential information in a fast paced, deadline driven environment.
